This Privacy Policy explains how the Tofco mobile application ("Tofco", "the app", "we", "us") handles information when used by authorised employees and administrators of the organisation. The app supports internal field operations such as recording customer reviews, logging shop visits, and submitting staff allowance requests. Using the app means you agree to the practices described here.

2. Who Can Use the App

Tofco is strictly for internal organisational use. User accounts are provisioned by the organisation's administrators. The app is not intended for the general public, and there is no self sign-up. All data recorded in the app belongs to the organisation.

3. Information We Collect

To perform its functions, the app collects and stores the following, entered or captured by authorised staff:

• Account information — your name, username, and role (administrator or employee) as set up by the organisation.
• Customer review data — customer name, phone number, location text, remarks, crop and product details, and an optional follow-up date, entered by staff during a visit.
• Shop visit data — shop name, a photo of the shop taken through the app, place, district, and remarks.
• Location data — GPS coordinates (latitude and longitude) captured at the time a review or shop visit is submitted, used to pin the visit location on a map. Location is captured only when you actively record an entry.
• Photos — images captured via the device camera or chosen from the gallery for a shop visit.
• Allowance data — travel, stay, and food allowance requests, including distances and amounts, for internal approval and reporting.
• Technical logs — basic request logs used to keep the service reliable and secure.

4. How We Use the Information

Information in the app is used solely for legitimate internal business purposes, including:

• Recording and managing customer reviews and field visits.
• Verifying the location and time of submitted entries.
• Processing and approving staff allowance requests.
• Generating internal reports and exports for administrators.
• Maintaining the security, integrity, and reliability of the service.

5. Device Permissions

The app requests these permissions only to provide its features:

• Camera — to take a shop photo during a shop visit.
• Photos / Storage — to attach an existing image to a shop visit.
• Location — to capture the GPS pin for a review or shop visit.

You can manage these permissions at any time through your device settings.

6. How Information Is Shared

Data entered into Tofco is visible to authorised administrators within the organisation for review, approval, and reporting. We do not sell, rent, or trade your information, and we do not share it with third parties for advertising. Information may be processed by service providers that host the application infrastructure on the organisation's behalf, under appropriate confidentiality obligations, or where required by law.

7. Data Storage & Security

Data is stored on servers operated for the organisation and protected using industry standard measures, including authenticated access (secure login tokens), access controls based on user role, and encrypted data transmission over HTTPS. Access is limited to authorised personnel of the organisation.

8. Data Retention

Records are retained for as long as needed to fulfil the operational and reporting purposes described above, or as required by the organisation's internal policies and applicable law. Administrators may remove or archive records in line with those policies.

9. Account & Data Deletion

Because accounts are managed by the organisation, users who wish to request deletion of their account and associated data can do so via our Account Deletion request page. A representative will review the request and respond within 24 hours.

10. Children's Privacy

Tofco is an internal workplace tool and is not directed to or intended for use by children. We do not knowingly collect information from anyone under the age of 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the app after changes take effect constitutes acceptance of the revised policy.
